Email CommandmentsBy Jim Frazier Regular readers know that I just love to issue commandments. While I've come up with a few for Web design, I've neglected my passion, email. So, in an effort to make up for this shortfall, I submit to you 15 "recommendations" for how you deal with email. This list is by no means complete, but it's a start. Stay tuned for much more on email in the next couple of months. 1 Never send your email immediately. Let it sit for a while. Then review it one more time. You'll be amazed at what you don't send. 2 Proofread. 3 Format your message to communicate most effectively. Write clearly, capitalize properly, spell correctly, and use good grammar. 4 Never open an attachment unless you were expecting it, and you are confident it doesn't have a virus. 5. Never criticize or express negative emotion using email. 6. Never send an email expecting an answer in under 48 hours. 7. Never send an email that you wouldn't want posted on the bulletin board at your office or on your mother's refrigerator. 8. Use BCC for distribution lists. 9. Don't overload your messages. Keep them to one screenful of information and limit them to one subject per message. 10. Use detailed and informative subjects for your messages. 11. If you use email for marketing, be very careful to avoid your messages being perceived as "spam." 12. Never demand to be removed from a spammer's list. You'll just get more spam. 13. Use up-to-date virus protection and keep your other software current. 14. Learn the tricks and traps of your email software. 15. Avoid lengthy email exchanges. If the subject is that complicated, use the phone or set up a meeting.
